Your privacy

We collect what we need to book and serve you, and we don't sell it. This page says what, why and for how long.

What we collect when you book, buy or contact us

Your name, email and phone number, the details of what you booked or asked for (including answers to our questions), and your messages to us. Card payments are handled by Stripe; we never see or store your full card number. We use this to confirm and run your booking, take payment, send reminders and receipts, and reply to you.

We send marketing email or texts only if you opt in, and every message tells you how to stop. Reply STOP to a text at any time.

Website analytics

We count visits to this site with our own small tool, which sets no cookies and does not fingerprint your device. We also use Google Analytics to see how many people visit and which pages they read; it is described below.

  • What we count: which pages are viewed, the site or campaign link that sent you, your device type (phone, tablet or desktop), your country, and the steps you take in booking, the shop and our forms (for example “picked a time”). We keep these as daily totals, not as a record of what you personally did.
  • How a visitor is told apart: to count one person once a day, we turn your address and browser into a short one-way code mixed with a random secret that we delete every night. The code can't be reversed, can't be matched from one day to the next, and your address and browser details are never stored.
  • What we respect: if your browser sends Do Not Track or Global Privacy Control, we don't count you at all. Signed-in staff and known bots are not counted either.
  • How long: the one-way codes are deleted the next morning. Daily totals are kept for up to about two years so we can see how the site is doing over time.

Google Analytics

  • What Google receives: the pages you view on our public website, the site or link that sent you, your approximate location, and your device, browser and screen size. Google also puts its own cookies (named _ga) in your browser, kept up to two years, to tell visits apart.
  • What it is used for: reports to us about visitors and pages. We turned off Google's advertising features, so this is not used to show you ads or build an advertising profile.
  • Where it does not run: if your browser sends Do Not Track or Global Privacy Control, the Google tag is not loaded. It does not run in the client portal, the admin or sign-in pages, or on private links we send you (proposals, invoices, agreements and upload links).
  • Opting out: use Google's browser add-on, block cookies for this site, or turn on Do Not Track or Global Privacy Control in your browser.

When you book or buy, we also record that the booking or order happened (on our server, not in your browser) so we know which pages lead to bookings.

Cookies

We set no advertising cookies. The cookies are:

  • your light or dark choice;
  • your sign-in, if you log in to your client portal;
  • a cookie, kept up to 90 days, that remembers the first campaign link or website that sent you, so we can tell which one led to a booking. We don't set it if your browser sends Do Not Track or Global Privacy Control.
  • Google Analytics cookies (named _ga), kept up to two years, set by Google when the Google tag runs (see Google Analytics above).

Our own analytics described above sets no cookies at all.

Who else handles your information

Only the services we need to run the studio: Stripe for payments, our email and text providers to deliver messages, Google Calendar to schedule sessions, Google Maps to measure driving distance for travel, Google Drive to keep a monthly backup copy of our records, Google Analytics to count visitors to this website, and Cloudflare to host this site. We don't sell your information.

When you book a session at your location, the address you enter may be sent to Google Maps (the Routes service) to measure the driving distance, so travel is priced correctly and we can plan the drive. Only the address is sent, not your name or contact details.

Our staff tools include an AI assistant that helps us draft replies and answer questions about bookings. When we use it, the details it needs are processed by our AI providers, OpenAI and Anthropic. Your email address and phone number are replaced with placeholders before anything is sent to them, and they don't use what we send to train their models.

A few features in our team's apps use the phone or browser itself. Voice typing sends what a team member says to the phone or browser's own speech service (Apple for Safari, Google for Chrome) to turn it into text; we never receive the audio. Dictating to our AI assistant is different: that recording is sent to OpenAI, or to Cloudflare if OpenAI is unavailable, to be transcribed. Scanning a client's check-in QR code uses the camera, but the picture is never uploaded: only the code it reads is checked. Picking a person from the phone's contacts only fills in a form until a team member saves it, and the mileage tracker reads the phone's location only while a trip is running and keeps it on the phone.

Text messages

Vision2Life Media texts you about your bookings and projects: confirmations, reminders, payment links and replies to messages you send us. You agree to these texts when you give us your number and check the box to get texts (when you book, in your client portal or on our contact form), when you choose Text as the best way to reach you on our contact form, or when you text us first. Marketing texts are separate and sent only if you opt in to them.

Message frequency varies. Message and data rates may apply. Reply STOP to stop at any time, START to resume, and HELP for help, or call or text (855) 532-8732. Carriers are not liable for delayed or undelivered messages.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are never shared with anyone, except the text provider that delivers the messages for us.

Students under 18

Our lessons and workshops are open to students under 18 with a parent or guardian's consent. When a student is under 18, we ask for a parent or guardian's name and email (a phone number is optional) and their consent before the booking goes through. We keep those details, and when they agreed, with that booking, and use them only to reach the parent or guardian about it.

A parent or guardian can ask us to see, correct or delete their child's information the same way as below.

How long we keep it

  • Invoices, payments, refunds and tax records: 7 years, as tax law requires.
  • Your profile, bookings and projects: while you're a client, then as long as the records above.
  • Delivered files: until your project is closed and we remove them, or sooner if you ask.
  • Voicemails: the audio is deleted after 90 days.
  • Copies of emails forwarded to the studio: 180 days.
  • Backups: deleted files leave them within 30 days; database backups are deleted after a year, except that the four most recent are always kept.

The studio links its own bank accounts through Plaid for bookkeeping. We never ask for your bank login, and Plaid is never shown to clients.

How we protect it

The owner and every team member sign in with two-step login (a password or sign-in method plus a passkey or one-time code), and each person can reach only what they need for their work.

Your choices

You can ask us to see, correct or delete what we hold about you. Email contact@vision2lifemedia.com or call or text (855) 532-8732. If you have an account, you can also do it from your portal (or the iPhone app): Settings, then Delete my account and data.

When we delete your information, we remove your name, contact details, messages, notes, answers, uploads, files and signatures, and close your client account. We have to keep invoices, payments, refunds and tax amounts for our tax records; they stay, without your contact details. We also keep a record that a number asked not to be texted, so it isn't texted again by mistake. Deleted files leave our backups within 30 days, and older database backups roll off within a year (the four most recent are always kept).
